Financial Secretary, Most Blessed Trinity Parish – Tremont, PA

Job Title: Financial Secretary

Job Status: Part Time             

Reporting Functions:  Reports to Pastor; no reports

Job Function: Provides financial support to the parish office including accounts receivable, accounts payables, reconciliation of bank statements, payroll processing, financial reporting, and employee benefits management, also acts as liaison for the pastor and provides support to parish office.

Duties and Responsibilities:

 

  1. Process the bi-weekly payroll for the employees of the parish. Process salary projection sheets; maintain payroll records that include calculation of salary, salary deductions, local taxes and other payroll-related matters.

 

  1. Oversee the recording and accounting of all parish income and expenses; prepare all accounts receivable and bank deposits and, with the Pastor’s approval, bank transfers as needed; expedite the payments of all parish billing.

 

  1. Process payment for all requisitions and purchase orders in a timely manner; ensure that all invoices are accurate and billed appropriately. Maintain journal entries for all purchases made; act as a contact with the local bank to resolve any issues.

 

  1. Prepare and forward monthly pension reports to the diocesan Pension Office; assist in the enrollment of any employees into the diocesan pension plan annually.

 

  1. Monthly reconciliation of all accounts and bank statements including application of interest and dividends.

 

  1. Make certain that the accounting system, bookkeeping and reporting process for the parish are correct; ensure that collection counting, deposits, accounting, and contributions continue to remain balanced and that the processes continue to be followed.

 

  1. Prepare, in conjunction with the Pastor, budget and financial reports for the parish and present them to the committee. Prepare the Diocesan Yearly Financial Report. Submit to the Pastor prior to being submitted to Temporal Services. Work with diocesan administrative offices to ensure financial procedures, reporting and policies are within Diocesan guidelines.

 

  1. Ensure the parish business office runs smoothly which includes day-to-day interaction with parish staff, parishioner, and vendors.

 

  1. Act as Safe Environment Coordinator for the parish. Ensure that all current and new parish employees and volunteers receive the required diocesan background checks. Maintain all background check-related paperwork for employees and volunteers and coordinating 5-year re-checks through the Diocese and setting up any necessary Protecting God’s Children classes.

 

  1. Meet with all new employees to review new hire paperwork. Assist new employees with payroll-related paperwork (W4, I9, direct deposit, database information, etc.).  Maintain personnel files.

 

  1. Complete required separation paperwork when an employee is terminated and forward to appropriate offices; complete employment verification requests for former employees; complete and process any unemployment questionnaires for former employees.

 

  1. Serve as backup for the Administrative Assistant; this includes light filing, typing, copying, answer the telephones and front door; and responding to parishioner questions and assisting them as needed.

 

  1. Attend all quarterly Parish Financial Council meetings; attend Parish Council meetings as required.

 

  1. Any other duties as assigned by the Pastor.

 

Educational Requirements:

  1. Associate degree or equivalent business experience.
  2. At least 2-5 Years’ experience as a Bookkeeper/Financial Secretary.

 

Skills, Knowledge and/or Abilities:

 

  1. Proficiency in Microsoft Office and Accounting software, as well as other business and office equipment. Knowledge of computerized accounting but must be able to do a manual set of books as well.

 

  1. Must possess excellent organizational skills and ability to communicate clearly and concisely, verbally and in writing.

 

  1. Must exhibit a high degree of integrity, loyalty, dependability, and have a strong work ethic. Position continually requires demonstrated poise, tact and diplomacy.

 

  1. Must possess a high level of interpersonal skills to handle sensitive and confidential situations.

 

      5. Must be able to work independently and proficiently.

Physical Demands: The employee is regularly required to stand, walk, sit, talk, and hear both in person and by telephone; frequent use of equipment that includes repetitive motions and computer eye fatigue. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities.

 

Working Conditions: Normal church office environment; year-round position, 20-28 hours per week. May be required to work hours outside normal workweek to attend meetings.
