FLSA: Non-Exempt                                                                            

Full-time 37.5 hours/week

Department:  Lehigh / Northampton Office

Summary:  The Support Staff Administrative Assistant performs clerical and administrative duties for the Leadership Team; helps coordinate support for staff and social media needs.  

Duties and Responsibilities:

  • Performs duties including producing reports, memoranda, and materials dealing with agency programs and services
  • Coordinates activities and/or correspondence for the Leadership Team of the agency
  • Creates and distributes correspondence as needed by the Leadership Team
  • Maintains files as necessary
  • Assists with data entry in AWARDS database
  • Serves as point person for the state-wide HMIS database system
  • Assists with tracking of agency required clearances and training. Inputs data in the diocesan database.
  • Assists with agency case review process
  • Responsible for creating and publishing content on social media platforms, including Facebook, Twitter, Instagram and agency Website, to grow an audience and build brand awareness
  • Responsible for preparing and processing various surveys and reports (statistical or other) for the agency, funders, or diocese
  • Supports and may handle online registration processes for donors, funders, and other various entities as needed
  • Assists with grant exploration and grant writing as assigned
  • Maintain agency website to ensure messaging is timely and reflecting Catholic Charities Mission

 

Minimum Qualifications

  • Post high school degree in appropriate field or the equivalent in work experience
  • Sound moral character and willingness to work within the guidelines of the Catholic Charities’ mission, values, and ethical norms
  • Ability to preserve confidentiality; maintain and nurture relationships over the phone, online, and in person
  • Excellent command of English and the ability to compose reports, correspondence
  • Able to appropriately handle multiple tasks at one time while maintaining attention to detail
  • Excellent computer and technology skills, with proficiency in Microsoft Office including Word, Excel, Publisher
  • Bilingual preferred (English/Spanish)
  • Employee is required to be able to drive his/her car to other Catholic Charities or Diocese of Allentown locations; the ability to drive to those locations safely is required, unless exceptions are explicitly recommended by the Executive Administrative Assistant and approved by the Executive Director, or in keeping with ADA requirements.

 

Working Conditions:

  • General office setting, parish setting, or general community setting
  • Must be willing/able to drive anywhere within the five counties of the Diocese of Allentown
  • Must be willing/able to travel to conferences, trainings, etc, when required by supervisor or due to programmatic needs
  • Normal work hours are Monday through Friday
  • May occasionally be required to work additional hours above and beyond regularly scheduled hours

 

Salary:  $33,000 - $37,000
